Keeping travel documents organised and safe
Where to keep tickets, confirmations and passports, what to carry on paper, and what to do if something goes missing.

Every trip produces a pile of documents: tickets, boarding passes, hotel and car confirmations, insurance, and the passport itself. Losing track of one at the wrong moment — at a gate, a border or a hotel desk late at night — is stressful. A simple system prevents it.
Gather everything in one place
Confirmations arrive by email over weeks or months, from different companies, in different formats. Before the trip, collect them into one place you can reach without signal: a folder on your phone, a travel app, or a printed wallet. For each booking, keep:
- the confirmation or booking reference;
- dates and times, with the time zone;
- the address and phone number;
- what is included (breakfast, baggage, cancellation terms);
- the name the booking is under.
Check the names match your passport exactly. A mismatch on a flight booking is far easier to fix weeks ahead than at the check-in desk.
Keep two copies of anything essential
For your passport, visas, travel authorisations, insurance and the first night's booking:
- a digital copy you can open offline, and
- a paper copy kept separately from the originals.
If your phone is lost, stolen or dead, the paper copy gets you to the hotel and the details you need to report a lost passport.
Protect the sensitive ones
Passports and identity cards are valuable to thieves and fraudsters. Treat copies of them carefully:
- Store them somewhere private and protected, not in a shared folder or a group chat.
- Don't send passport photos by ordinary email unless you must, and delete them afterwards.
- When a hotel asks to copy your passport, it's normally a legal requirement; when anyone else does, it's fine to ask why.
Check expiry dates early
Many countries require your passport to be valid for some months beyond your stay, and some require blank pages. Some also require a visa or an electronic travel authorisation before you fly. Check these when you book, not the week before (see our guide to checking entry requirements). Renewals can take weeks.
Also check the expiry of:
- driving licences, and whether you need an international driving permit;
- any residence permit or visa you travel on;
- travel insurance cover dates;
- health documents you may need.
On the day
- Keep your passport and the next document you need (boarding pass, train ticket) in one consistent pocket or pouch. Always return them to the same place.
- Take a screenshot of each boarding pass or ticket, in case the app doesn't load.
- Keep printed copies for any border where you may need to show an onward ticket or accommodation address.
If something goes missing
- Passport: report it to the local police for a reference, then contact your country's embassy or consulate for an emergency travel document. Your copies will speed this up.
- Tickets and bookings: contact the company with your booking reference; most can reissue.
- Cards: cancel them immediately using the numbers saved on your copies, not on the lost wallet.
After the trip
Keep receipts and confirmations until any refunds, expense claims or insurance claims are settled, then clear out what you no longer need — especially copies of identity documents.
Elio Travels gives you a private document wallet: upload confirmations and tickets, and it reads them into your itinerary for you to confirm. Passports and ID cards are stored privately and are never sent to the AI assistant.
Rules, prices and timetables change. Always confirm important details — especially entry requirements and passenger rights — with the official source before you travel.
